If you believe there is an error with a fee assessed to your account, please follow the process below to submit a dispute for review.
Last Updated: October 29, 2024
1. Grounds for a Dispute
You may dispute a fee if you have a valid reason to believe:
- The fee was assessed in error (e.g., duplicate charge, incorrect violation).
 - The amount of the fee is incorrect.
 - You were not properly notified of the violation or fee according to your community’s governing documents.
 - The fee violates your community’s bylaws or covenants.
 - You have documentation proving the fee is unwarranted.

2. Information Required for Your Dispute
To ensure your dispute is processed efficiently, you must provide the following information:
- Your full name and property address.
 - The date and amount of the disputed fee.
 - A clear, concise explanation of why you are disputing the fee.
 - Any supporting documentation (e.g., correspondence, photos, receipts, or relevant sections of your governing documents).

3. How to Submit a Dispute
All disputes must be submitted in writing to ensure a clear record of communication. You can submit your dispute through the following method:
Email Submission
Send your dispute and all supporting documents to: disputes@hoaofamerica.org
4. Dispute Review Process
- Submission & Acknowledgement: Your dispute is received and logged. You will receive an email confirmation with a reference number within one business day.
 - Initial Review: Our team reviews your submission for completeness. If information is missing, we will contact you. This takes 1-3 business days.
 - Investigation: We will review your community’s records, governing documents, and any evidence provided. This can take up to 10 business days.
 - Decision: You will receive a written decision via email within 15 business days of your initial submission. The decision will explain the outcome and any actions taken.

5. Important Considerations
- Submitting a dispute does not pause your obligation to pay undisputed portions of your balance.
 - Late fees may continue to accrue on an unpaid fee while it is under review. If the dispute is upheld in your favor, any related late fees will be reversed.
 - All decisions are made in accordance with the governing documents of your specific community association.
